INSTRUCTIONS FOR COMPLETING FACULTY ACTIVITY REPORTS

 

Faculty And Graduate Assistants

 

DIRECT INSTRUCTION:  On-campus, on-load extension, and off-load extension activities performed in carrying out the normal duties associated with the courses assigned to you this term.  Time spent on each course has been divided into two categories.

 

1.       Contact Hours (actual class presentation hours).

 

2.       Other Course Hours (additional time spent on the course for purposes of preparing class materials, revising lectures, grading exams, advising students on class materials, etc.).

 

DO NOT MAKE CHANGES TO YOUR ASSIGNED TEACHING LOAD EXCEPT UNDER THE FOLLOWING CIRCUMSTANCES:

 

1.       A resignation, termination, etc., within the department has resulted in a modification to your teaching assignment.  Please indicate on form.

 

2.       If you are paid from more than one fund source, courses can be transferred from one form to another if they are not under the appropriate source.

 

3.       If neither of the above apply, a brief explanation must be provided by your department chair explaining the change.

 

University records were to have been modified for teaching loads through Course Schedule Master File update procedure after ten-day withdrawal period.  The pre-printed course information on your form was extracted from this C.S.M. File after all changes and updates had been processed.  Graduate Assistants responsible for teaching lab or discussion courses should report that time as direct instruction.

 

INDIRECT INSTRUCTION:

 

1.       Course Related:

 

a.       Faculty - Thesis, dissertation, or independent study assistance to graduate students not directly enrolled with you this term.

 

b.       Graduate Assistants - Assigned activities in support of a specific course for the term, where the course is essentially another’s responsibility.  Duties might include paper grading, procurement and preparation of necessary materials or equipment, monitoring tests, etc.

 

Give complete course information as called for under DIRECT INSTRUCTION so that you can be credited with the proper INDIRECT teaching load.

 

2.       Department Related: (Intended for use by Graduate Assistants only)

 

“Free floating” support activities not in direct support of a specific course for the duration of the term.  These may include directed library or laboratory assistance for a member, temporary course assistance, etc.

 

ADMINISTRATION:  The usual duties of administrative personnel including general administrative officers and their assistants, deans, directors, department chairs and their assistants.

 

COMMITTEES:  Time spent serving as a member of a committee or council at the department, college, or university level.

 

DEPARTMENTAL SERVICE:  Time spent performing duties beneficial to the department, college, and university.  Some examples:  student program advisement, program revision, new program planning, student/parent orientation or consultation, writing recommendations, etc.

 

DEPARTMENTAL RESEARCH:  Time spent conducting research or other scholarly and creative activities.  If research is supported by an externally funded grant or an internally funded Graduate School grant, then it should be reported under Organized Research (see below).

 

LIBRARY:  Restricted to activities performed by professional librarians and graduate assistants assigned to the Library.

 

COUNSELING:  Restricted to activities performed by professional counseling services within the University.

 

ATHLETICS:  Restricted to activities performed by coaches and the duties affiliated with intercollegiate and intramural athletics.

 

ORGANIZED RESEARCH:

 

1.       Externally-funded Grants:  The in-kind contribution of time to be contributed by faculty member toward an externally-funded project as agreed upon either contractually with the granting agency or with the department chair.  Grant information indicated on the form will be pre-printed, when known.  In the event a grant was missed, please list NIU account number.  Faculty contributing time toward a grant held by another faculty member must receive approval from department chair for time claimed.  The NIU account number and a brief description of the project must also be given.

2.       Internally-funded Graduate School Grants:  Departmental cost-sharing or in-kind contribution previously agreed upon between department chair, faculty member, and Graduate School as a condition for receiving the award.  Time claimed under this category must be accompanied by date of award and a brief description of the project.  Award information will be pre-printed when known.

PUBLIC SERVICE:  Time spent on professionally related activities primarily benefiting the general public.  These include: service to professional groups and scholarly associations, adult education, conferences, institutes, clinics and workshops for non-credit, community consultant services, business services, clinical services, educational services, radio and television services, news media services, services to the handicapped, and cultural services (art, music, drama, and forensics).  A specific description of the type of activity must accompany time claimed under this category.  For example, names of boards or committees, a brief description of services performed for community groups, names of cultural groups served, etc.  If the space provided is inadequate, please attach an additional sheet to the form.
